Why Does Insights Need Separate Workflow Access?

Inside Podio's ecosystem, Podio Workspace Schemas and Podio Workflow Automation (formerly GlobiFlow) operate on two completely separate API architectures. When you log in with your Podio account, Podio's standard OAuth token grants access to apps and fields — but does not grant access to GlobiFlow's workflow blueprints.

To enable deep diagnostic scans, version-diff comparisons, and dependency tracking across your automated workflows, Insights needs read-only access to download and parse your workflow XML definitions.

The fastest and easiest connection method. Install our official Chrome extension, open Podio Workflow Automation, and connect your entire organization with a single click — no workspace invitations and no passwords to share.

Install the Insights Chrome Extension
Open Google Chrome and install the Insights for Podio Chrome extension from the Chrome Web Store.

Log in to Podio Workflow Automation
Open Podio Workflow Automation (PWA) in the same browser using the account for the organization you want to connect.

Select your Organization in the Left Tree
Click on your organization node in the left navigation tree of Podio Workflow Automation.

Click "Connect to Insights"
Click the blue "Connect to Insights" button in the top right. That's it! Then refresh the organization in Insights to pull your workflows.

In Podio, invite insights@insightspod.io to the workspaces you want to monitor as a Service User with Admin role. (Admin role is required by Podio to allow reading workflow structures).

Log into Podio Workflow Automation, navigate to Account → Additional Users, and invite insights@insightspod.io.

No Billing Charges & Revocable Anytime: Podio Service Users are special billing-exempt accounts (zero cost). You can remove this service user from your workspaces or GlobiFlow at any time.

Option 2: Submit Encrypted Service Credentials

If your organization has dozens of workspaces and you prefer not to invite a user manually to each one, you can provide the credentials of a dedicated Podio administrator.

Navigate to Account Settings
Open Account Settings inside your Insights dashboard.

Select "Submitting the credentials" and Save
Enter the Podio login email and password. Our automated sync worker will use these credentials to download your workflow XML blueprints.

Important Requirement: Please ensure Two-Factor Authentication (2FA) is disabled on this specific automated service user, as automated backend sync jobs cannot answer interactive 2FA prompts.

Revocable at Any Time: You maintain complete control over your access. You can remove or update these credentials whenever you want by clicking the "Remove Credentials" button in your Account Settings.

Zero Client Item Data Storage

Insights only analyzes workflow logic and schemas. We never inspect, transfer, or store your confidential client records or item contents.

Read-Only Operations

Our synchronization workers operate in strictly read-only mode. Insights never alters, pauses, triggers, or deletes your live workflows.

Enterprise AES-256 Encryption

Stored credentials are encrypted using industry-standard AES-256-CBC encryption and can be permanently revoked with 1 click at any time.
